Exhibitor Information
The next SSRL and LCLS Annual Users' Meeting will be held at SLAC National Accelerator Laboratory in Menlo Park, California, USA, on September 24-27, 2019. The plenary session, exhibits, poster session and reception will be held on THURSDAY, SEPTEMBER 26, with several focused parallel workshops also scheduled September 24, 25, and 27. This annual meeting, which traditionally involves 300-400 participants, provides a valuable opportunity for colleagues from scientific user and vendor communities to interact and discuss the latest capabilities, science, technology and future plans.
The vendor exhibit will be held in the SUSB lobby and Trinity Conference Rooms on Thursday, September 26, 2019. If you are interested in exhibiting, please contact Cathy Knotts.
- EACH INDIVIDUAL EXHIBITOR WILL NEED TO BE REGISTERED IN ADVANCE and complete a DOE Access Form. REVIEW IMPORTANT INFORMATION REGARDING ACCESS TO SLAC *
- The exhibit space is $1,500 for a 5 foot table which can accommodate a TABLE-TOP EXHIBIT ONLY (60" wide x 30" deep). All exhibit material MUST FIT on top of or within this space. There is a visitor network and WIFI available.
- Exhibit space is very limited and will not be assigned until after the completed waiver, exhibitor registration, access forms, and payment are received.
- Exhibits will be open on Thursday, September 26, 10 am-5 pm. (Exhibit move-in time is Sept. 26 7:30-9:30 am; we may be able to set up some exhibits beginning the afternoon of Wednesday, September 25, so let us know if you may be interested in this option.) Exhibit tear-down is scheduled for 5-7:30 pm on September 26.
- The users' meeting and exhibits will be held in the SLAC Science and User Support Building (SUSB) 053 and surrounding buildings/outdoor spaces, conveniently located across from the main entrance to SLAC National Accelerator Laboratory. Exhibits will be set up in the Breezeway, Trinity conference room, and hall directly across from the Panofsky Auditorium where the plenary session talks will be held. Refreshments will be served in this location as well.
- Each exhibiting company can register up to three exhibitors; each exhibitor must register in advance and complete the DOE access form. * See access requirements at the end of this message.
- Exhibitor badges must be worn throughout the meeting and confer the same privileges as regular meeting attendees, including admission to sessions, lunches and reception. Additional persons accompanying the exhibit must register separately as regular meeting participants.
- Exhibitors are invited and encouraged to participate in the Poster Session and Reception on the SUSB 2nd floor patio on Thursday, September 26.

* IMPORTANT INFORMATION REGARDING ACCESS TO SLAC NATIONAL ACCELERATOR LABORATORY
- All exhibitors must provide valid photo identification upon arrival during normal working hours (Monday-Friday, 7am-4pm). This includes valid US drivers license for US citizens, and original passport/visa/LPR documentation for foreign nationals (FN).
- All Foreign Nationals (FN) must provide a curriculum vitae (CV) detailing science and technology specialties including all work positions and academic institutions attended since college, with no gaps in time. Any gaps greater than 12 months will require additional information.
- FN born in, citizen of, representing or having affiliation with Iran, North Korea, Sudan and Syria will not have sufficient time to request approval and, therefore, will not be able to participate.
- FN born in, citizen of, representing or having affiliation with certain other countries or institutions may have requirements for advance approval depending on the nature of the work or visit to SLAC.
Neither meeting organizers, management, contractors, nor facility staff assume responsibility for any merchandise or display material which may become lost, stolen or damaged under any circumstances. Exhibitors must carry their own insurance.
